Guidelines, Instructions, and Information for submitting posters at the Welch Conference.
Poster Session Information
Key Information
The posters will be displayed both in-person and virtually on the conference event website. The email you registered with will be visible to all attendees. This allows for both in-person and virtual registrants to reach out to you directly to schedule a poster session before and after the conference (from October 20 through October 31). Keep in mind that your audience could be at the conference or attending virtually from anywhere in the world.
Registration
- Poster presenters must be registered to attend the conference in person.
- To register, go to https://welch1.org/conference/registration for the link to the registration portal.
Deadlines
- Posters must be uploaded to the registration site by October 1.
- NEW 2025: Poster presenters must bring their standard 4'x6' posters in person by October 27 at 8:00 am.
Formatting Requirements
- In the author list, underline the name of the person presenting the poster. Your poster must also clearly list the presenter’s position/title: undergraduate student, graduate student, postdoctoral scientist, or laboratory head, as the four categories of presenters will be judged separately. The postdoctoral scientist category includes postdoctoral fellows and academic or industrial research scientists (those who are not laboratory heads). Laboratory heads include academic faculty members and industry scientists.
- Poster should have a clear message, a logical layout and be easy to comprehend for a non-expert. Ensure that each of the sections (e.g., abstract, background, methods, results, conclusions and references) are easy to locate and that the figures are well described.
- Use text fonts that are easy to read on a computer screen or smartphone.
- Posters must be uploaded to the registration site in PDF format and no larger than 10 MB.
Criteria
- Posters will be reviewed and evaluated by representatives of The Welch Foundation prior to the conference.
- Posters will be judged in four separate categories; undergraduate students, graduate students, postdoctoral scientists (including postdoctoral fellows and academic or industrial research scientists who are not laboratory heads), and Laboratory heads (academic faculty members and industry scientists).
- Posters will be judged based on a ten-point scale for each area:
- The effectiveness of poster elements in conveying the research (e.g., abstract, background, methods, results, figures, conclusions and references)
- Coherence of the poster as a stand-alone scientific communication; description of the problem within the context of prior work, quality and relevance of data to address the problem and how well the data support the conclusions.
- Scientific impact (importance of the results, novelty, new insight into an old problem).
- Level of contribution by the author-presenter (to the extent this can be ascertained by supporting publications or during the virtual presentations).
Awards
- Up to three posters will be selected in each category and will be recognized with a monetary award
- 1st place - $2,500; 2nd place $1,000; 3rd place $500
- Selections will be announced after lunch on Tuesday, October 28
