Guidelines, Instructions, and Information for submitting posters at the Welch Conference.
Poster Session Information
The posters will be displayed both in-person and virtually on the conference event website. Posters will be reviewed in advance of the conference as well as in-person during a poster session happy hour on Monday, 10/26, from 3:30-5:30 p.m. Winners will be announced after lunch on Tuesday, 10/27.
Posters can be on any topic and do not need to be related to the conference topic. Due to limited space, only four posters from each lab will be accepted. Joint poster submissions are allowed and will count as one entry from the lab. Please direct any questions to conference@welch1.org.
Deadline
- Poster presenters must be registered for the conference and their posters submitted by October 2, 2026.
- There will be a limit of 120 total posters. We encourage you to submit your poster as early as possible as they will be accepted on a first-come, first-served basis.
Registration
- Poster presenters must be registered to attend the conference in person.
- To register, go to https://welch1.org/conference/registration for the link to the registration portal.
- Once you have registered, email conference@welch1.org with your poster attached. Please include the below information:
- Subject Line: Your full name in Last Name, First Name format
- Body of Email:
- Your institution name
- Your category (undergraduate, graduate, postdoctoral scientist, or laboratory head)
- Your poster title
- If your poster is one of the first 120 submitted AND follows the formatting requirements listed below, you will receive a confirmation email confirming your participation in the poster session.
- Posters MUST meet the poster formatting requirements when originally submitted or it will not be eligible to participate.
- Only four posters from each lab will be accepted. Joint poster submissions are allowed and will count as one entry from the lab.
Poster Formatting Requirements
- In the author list, please underline the name of the person(s) presenting the poster.
- Posters must also clearly list the presenter’s position/title: undergraduate student, graduate student, postdoctoral scientist, or laboratory head, as the four categories of presenters will be judged separately. The postdoctoral scientist category includes postdoctoral fellows and academic or industrial research scientists (those who are not laboratory heads). Laboratory heads include academic faculty members and industry scientists.
- Posters should have a clear message, a logical layout, and be easy to comprehend for a non-expert. Ensure that each of the sections (e.g., abstract, background, methods, results, conclusions and references) are easy to locate and that the figures are well described.
- Use text fonts that are easy to read on a computer screen or smartphone.
- Posters must be under 10 MB.
Poster Review
- Posters will be reviewed and evaluated by representatives of The Welch Foundation in advance of the conference as well as during the in-person poster session.
- Posters will be judged in four separate categories: undergraduate students, graduate students, postdoctoral scientists (including postdoctoral fellows and academic or industrial research scientists who are not laboratory heads), and Laboratory heads (academic faculty members and industry scientists).
- Posters will be judged in the four areas described below, on a ten-point scale for each area.
Review Criteria
- Posters will be judged based on scientific impact, clarity of presentation, and contribution of the author to the overall project. Posters will be judged in the four areas described below, on a ten-point scale for each area:
- The effectiveness of poster elements in conveying the research (e.g., abstract, background, methods, results, figures, conclusions, and references)
- Coherence of the poster as a stand-alone scientific communication; description of the problem within the context of prior work, quality, and relevance of data to address the problem, and how well the data support the conclusions.
- Scientific impact (importance of the results, novelty, new insight into old problem).
- Level of contribution by the author-presenter (to the extent this can be ascertained by supporting publications or during the virtual presentations).
Poster Session Happy Hour
- The posters will be reviewed in advance of the conference as well as during the in-person poster session. A happy hour poster session will be held Monday, 10/26, from 3:30 – 5:30 p.m. upstairs at The Post Oak Hotel.
- The posters will also be displayed virtually on the event platform so that virtual attendees can access them throughout the event. The email you registered with will be visible to all attendees. This allows for both in-person and virtual registrants to reach out to you directly to schedule a poster session before and after the conference (from Monday, October 19 through Friday, October 30).
Poster Awards
- Up to three posters will be selected in each category and will be recognized with a monetary award: 1st place - $2,500; 2nd place $1,000; 3rd place $500. Joint poster awardees would split the monetary award.
- Winners will be announced after lunch on Tuesday, October 27.
- You MUST BE PRESENT at the conference to receive the prize.
